Separate the shoot, the images and the licence

Clients compare a photographer's invoice with the quote, and they'll ask what they can do with the pictures. Put each part on its own line:

  • The shoot: “Product shoot, half day (Nov 2)”, or by the hour.
  • Post-production: “Edited images”, with the number of images as the quantity.
  • The usage licence: “Usage licence: web and social, 2 years”, priced on its own.
  • Extras: travel, studio hire, props, assistants, rush delivery.
  • The retainer or booking fee as a negative line, so the balance is what's left.

Write the usage terms down

The licence line says what was bought; the notes say exactly where and for how long the images may be used, for example “web and social use until Nov 2028; print and paid advertising need a separate licence.” It saves an awkward conversation when the pictures turn up on a billboard, and it's the reference when the client wants to extend.

Weddings and events

For private clients, invoice the package by name (“Wedding coverage, 8 hours”), list albums and prints separately, and take off the booking fee. A link with a Pay button works well for couples paying by card. Running a business with VAT? Start from the UK VAT or EU VAT template.

Questions

Should the usage licence be on the invoice?

Yes. Put it on its own line with a short scope (“web and social, 2 years”) and spell out the details in the notes. It makes clear what the client paid for and when to license again.

How do I show a retainer or booking fee?

Add it as a negative line, “Retainer paid Oct 20”, so the balance due is what's left after the shoot.

Can I charge for travel?

Add travel as its own line, for example “Travel, 120 miles” with the mileage as the quantity and your rate as the price.
